Kirei Stationery is operated by PAIR株式会社, Japan ("we", "us" or "our"). We are the controller of the personal information we use to operate our store. This policy explains how we handle information when you visit our website, buy from us or contact us. Our company address is provided in our Legal Notice.

Information we collect

We collect information you provide, such as your name, email address, delivery and billing details, telephone number, order details and customer service messages. If you create an account, we process the information needed to maintain it. If you subscribe to marketing, we record your subscription preferences.

Our Inquiry Form collects your name, email address, message and any attachment you choose to upload. This may include order numbers and photographs of products or packaging. We use Shopify Forms to receive and store submissions, and a submission may create a customer record in Shopify. Submitting a customer service inquiry does not subscribe you to marketing.

Our store and its service providers also process technical information, such as IP address, device and browser information, pages viewed, interactions, cookie identifiers and transaction or fraud-prevention signals. The precise information depends on the services used and your privacy choices. We obtain information directly from you, automatically through our services, and from service providers and partners involved in those services.

Payment providers process payment credentials. We receive transaction information and payment status needed to manage orders. Please do not send passwords, full card details, identity documents or unrelated sensitive information through the Inquiry Form or its attachments.

Why we use information

We use personal information to process payments and orders, arrange delivery and customs documentation, provide support, manage returns, secure the store, prevent fraud and keep required business records. We also use information to improve the store and, where permitted and subject to your choices, send marketing or support and measure advertising.

Where EU or UK data protection law applies, our legal bases include performance of a contract, compliance with legal obligations, consent and legitimate interests such as security, responding to inquiries and service improvement, where those interests are not overridden by your rights. We rely on consent where required for optional tracking or marketing. You can withdraw consent without affecting processing that was lawful before withdrawal.

Shopify and other recipients

Our store is hosted on Shopify. Shopify processes information for commerce, checkout, hosting, security and related services. We use Shopify Forms for inquiries and Shopify messaging services for communications. Necessary information is also shared with payment providers, fulfilment and shipping providers, customs services, customer support providers, professional advisers and authorities where legally required. Service providers receive information needed for their role, subject to applicable contractual and legal protections. Information may also be disclosed in a lawful business transfer with appropriate safeguards.

Shopify Network Intelligence is enabled for our store. Shopify's enhanced features may combine information from your interactions with our store, other merchants and Shopify to protect, improve and personalise services, including to support personalised advertising with third-party services. Shopify is responsible for its processing for these purposes and for responding to related privacy-rights requests. Cookies, analytics and advertising

Essential technologies support checkout, security and privacy preferences. Other technologies may support analytics, personalisation and advertising. Where consent is required, we seek it before using optional technologies. You can use the cookie banner or privacy controls displayed for your region to manage your choices. Blocking essential cookies may affect store functionality.

We use Meta business tools, including the Meta Pixel, Conversions API and related matching technologies, to measure website activity, understand advertising performance and, where permitted, support relevant advertising on Facebook and Instagram. Depending on your privacy choices and applicable law, information shared with Meta may include browser and device information, website interactions, purchase or checkout activity, and contact information used for matching purposes. Where consent is required, optional advertising technologies are used only after the required consent has been obtained.

Meta processes information in accordance with its own privacy terms and controls.

Where applicable law treats advertising disclosures as a sale or sharing of personal information, you may have a right to opt out. Use our Your Privacy Choices page to exercise available opt-outs. Where required, Global Privacy Control signals are treated as opt-out requests for the browser and device used, and for an associated Shopify account where Shopify can make that association. Other browser Do Not Track signals are not generally recognised.

We may use additional analytics or advertising services in the future, and will update this policy and provide any required notices or consent choices when our practices materially change.

Email marketing

We send promotional emails when you have opted in or another lawful permission applies. You can unsubscribe using the link in a promotional email or contact us. Unsubscribing does not stop necessary order, delivery or customer service messages. Our Inquiry Form is for customer service and does not enrol you in promotional emails.

International processing and retention

We operate in Japan. Shopify currently hosts our store data in the United States, and Shopify and other providers may process information in other countries. Where legally required, transfers use applicable safeguards, such as recognised adequacy arrangements, approved standard contractual clauses or equivalent UK protections. Contact us for information about safeguards applicable to your data.

We retain information for as long as reasonably necessary for the purposes described, including order fulfilment, support, tax and accounting obligations, resolving disputes and preventing fraud. Retention varies by record type and legal requirements. Inquiry messages and attachments are retained as needed to handle the inquiry and related claims or obligations. Information is deleted or anonymised when no longer needed, subject to applicable retention requirements.

Your rights

Depending on your location, you may request access, correction, deletion, a copy or portability of your information, restriction of processing, or object to certain processing, including direct marketing. You may also withdraw consent or exercise applicable sale, sharing and targeted-advertising opt-outs. These rights are subject to legal exceptions; some records must be retained by law.

Submit requests through the Inquiry Form on our Contact Us page. We will respond within applicable legal time limits and may request proportionate information to verify your identity. An authorised representative may make a request where permitted by law; we may need evidence of their authority. Exercising your rights will not result in unlawful discrimination.

You may contact us about a privacy complaint or an appeal where available. You may also complain to the competent data protection authority, including Japan's Personal Information Protection Commission or the authority in your country where applicable.

Security, children and external links

We use reasonable organisational and technical measures to protect information, but no system is completely secure. Our store is not directed at children below the age at which they can independently consent under applicable law. A parent or guardian may contact us about a child's information. We do not knowingly sell or share personal information of children under 16 for targeted advertising.

Links to third-party websites are governed by those sites' privacy policies. Please review their policies before providing information.

We may update this policy to reflect changes in our services or legal obligations. The updated date appears above. Material changes will be communicated where required.
